Reporting to the Supervisor, Health Information Management (HIM), the Health Information Records Management (HIRM) Admin Support provides clerical support for the Health Records department (regardless of medium, paper or electronic) by processing patient records for filing, storage and scanning. Maintains filing systems in accordance with AHS policies and procedures, provides reception duties: registration, admissions, transfer and discharge of patients: bookkeeping tasks; and general office duties. Primary Responsibilities: Retrieves, prepares and files patient charts. Prepares chart folders. Printing and updating incomplete record and record locator lists during scheduled computer downtime. Maintain chart tracking system. Retrieving charts for physicians, health record staff, units, or other hospital departments. Sorting, delivering and filing reports as per HIM policies and procedures. Maintaining and organizing filing areas. Preparing charts for storage by filing and organizing original records. Processing Custodial requests for information and meeting required turnaround time. Processing WCB invoices by attaching appropriate health information and meeting required turnaround time. Sorting and stamping typed reports. Ordering and storing office supplies. Completes and distributes the necessary forms for the registration of vital statistics. Completing death registrations and transmitting to the Department of Vital Statistics. Assembles and performs Validation and Verification in standard order patient charts, such as: Performing Validation and Verification and processing inpatient discharges according to department procedures. Sorting and attaching copies of inpatient and outpatient reports to appropriate patient chart. Ensuring the patient chart number is recorded on all loose sections of the file.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Please note, this facility provides Long Term Care (LTC) or Designated Supportive Living (DSL) services and by Order of the Chief Medical Officer of Health, many AHS employees are restricted to work only at a single LTC/DSL site for the remainder of the pandemic. Speak to the hiring manager who will confirm if, as the successful candidate in this position, you will be restricted to work at only one LTC/DLS site in Alberta. In addition to a competitive rate of pay, AHS currently has a Remote Retention Allowance in place to an annual maximum of $3,000. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay. Meical Terminology (testing will be conducted). Fluent in written and spoken English language. Accurate and proficient keyboarding skills of 40 - 50 wpm required.
Experience in Patient Registration, Health Records, Financial Records, and/or Telecommunication. MOA and/or Unit Clerk Course.
