SUMMARY Under general supervision, provides secretarial services for the Director, Manager, radiologists and supervisory staff including organizing and maintaining various reporting systems, summarizing information and updating manuals. RESPONSIBILITIES Responsible for providing secretarial support for the Director, Radiologists, regional support staff, and regional senior staff such as: Transcribing reports, correspondence, etc. from dictaphone or copy. Receiving and routing all calls and visitors, responding to routine requests, relaying messages and making appointments. Establishing and maintaining filing systems to retrieve documents and information in an efficient manner. Developing and revising forms for use within the department under supervision of senior staff. Entering callbacks for radiologists. Organizing various reporting systems and summarizing information. Arranging meeting and taking minutes of the meeting. Updating manuals for the department. Booking DI conference room as required for meetings for DI and for other departments in the hospital. Burning CD’s as required. Taking care of the legal correspondence as required and sending billing information to Finance. Ordering supplies for the department. Performs other related duties as required, such as but not limited to: Operating the photocopier, word processor and other office equipment. Relieving clerks when necessary and when time permits. Opening and distributing mail. Assisting with clerical and booking duties when directed.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
