POSITION:
The Paz Organization is seeking an Executive Assistant to provide high-level administrative support to the CEO and senior management team by performing a variety of clerical and organizational tasks, to ensure the smooth and efficient operation of executive-level functions.
KEY RESPONSIBILITIES:
• Provide high-level administrative support to the CEO and senior agency directors by handling scheduling, correspondence, and internal/external communications.
• Manage executive calendars by planning and coordinating appointments, board meetings, conferences, and travel arrangements.
• Screen and prioritize incoming communications, including emails, phone calls, meeting requests, and invitations.
• Prepare and edit documents, presentations, reports, meeting agendas, and minutes with a high degree of accuracy and confidentiality.
• Act as a liaison between the executive team and internal stakeholders to ensure smooth and professional communication.
• Coordinate logistics for meetings, events, and executive engagements, both virtual and in-person.
• Handle confidential information with discretion, ensuring privacy and data security protocols are followed.
• Track deadlines, action items, and follow-ups on behalf of the CEO and directors to ensure timely completion of key tasks and initiatives.
• Support the implementation of strategic initiatives, business plans, and organizational priorities as directed by the executive team.
• Conduct basic research, data collection, and analysis to support decision-making and project development.
• Oversee or support special projects as assigned by the CEO or senior management, often involving cross-functional collaboration.
• Maintain well-organized electronic and paper filing systems for executive-level documentation and records.
• Coordinate travel and expense reimbursements, ensuring timely and accurate reporting in accordance with company policy.
• Anticipate executive needs proactively, demonstrating initiative and an understanding of business context.
REQUIREMENTS:
• Completion of a college diploma or university degree in business management is an asset.
• Minimum 1–2 years of related administrative experience is required.
• Organized and deadline driven.
• Excellent written and verbal communication skills
CONDITIONS OF EMPLOYMENT:
• Permanent, full-time position
• $36.10 per hour
• A minimum of 30 hours of work per week
• Overtime pay ($54.15/ hour) applies after 44 hours of work per week
