We are looking for an energetic and capable administrator to join our team in Brandon. Reporting to the VP Business Operations, this position will help us meet and exceed our business objectives by efficiently handling a wide variety of administrative tasks.
Source and order supplies.
Assist visitors from other IMI locations.
Coordinate use of a corporate apartment.
Organize and schedule meetings.
Liaise with landlord and property management.
Oversee maintenance, repairs and upgrades to office facilities.
Ensure the kitchen is clean and stocked.
Contract Administration / Document Management
Scan, file and circulate customer and vendor agreements in accordance with defined processes and naming conventions.
Assist with tracking contracts in process using JIRA.
Maintain physical and electronic files. Assist with filing and tagging contracts in ContractWorks.
Act as local point of contact and support for regional and corporate HR teams.
Coordinate on-boarding of new employees in Toronto.
Support local implementations of HR initiatives including employee recognition and reward programs, team building events, etc.
Assist the VP Business Operations across a range of functions and projects such as: corporate registrations, compliance initiatives, preparation of reports and presentations, documentation of business processes, data analysis, etc.
Superior administrative and organization skills;
Highly motivated and able to take initiative;
Excellent written and verbal communication skills;
Professionalism dealing with internal and external customer;
Strong proficiency with MS Office suite;
Comfortable with technology and office tools;
Able to thrive in a dynamic, fast-paced, multi-tasking environment;
At least 5 years of experience in an administrative role
University degree preferred.
