Citadel Music started their business in Halifax, Nova Scotia since 2015, and now has grown into a well-known local business for music lovers from toddlers to professional artists. Citadel Music provide one-stop service from shopping to learning and performing. They offer a wide selection of instruments and gears, accessories, music lessons, rehearsal rooms, and other extending services such as instrument maintenance and repair.
This position will be responsible for managing and administering all aspects of the operation that related to students’ programs. Working with students, store, and teachers to ensure consistent application of administrative policies and procedures., we are looking for a dedicated Student Assistance Officer.

Essential Duties and Responsibilities
• Oversee administrative policies and procedures and perform administrative duties related to students’ programs
• Co-ordinate and ensure smooth communications between students, parents, and supporting colleagues
• Set up clients’ appointments and create follow-up timeline to ensure services are timely delivered
• Co-ordinate with clients and colleagues in the admission process, including providing clients information, scheduling try-out lessons, filling forms, etc.
• Plan and co-ordinate events for students and parents, such as information sessions, special events, school tours, etc.
• Be responsible for students-related services operations, such as updating forms and communication brochures, checking out and replenish supplies and lesson materials, and maintain and disposal clients records or documents
• Oversee and monitor the operation procedure in planning and implementing long-term and and short-term events, contracting and signing service agreements, collet and follow up payments, etc.
• Assist in budget planning, create purchasing list and expense report of students events and services
• Set up and maintain clients file system, update clients monitor sheet, prepare monthly and annual report to indicate service performance

Skills & Qualifications:

• Completion of secondary school
• Minimum 1 year of administrative experience in an office setting
• Ability to prioritize tasks
• Ability to manage projects and meet deadlines
• excellent communication skills
• proficient with Microsoft office
